Quick Start Guide for Service Orders

Before you can make your first Service Order you should set up Labor Types and Mechanics. You can also configure Bays to keep track of where a customer unit is assigned.

  • Labor Types are used so you can bill labor at the right rate for the right type of work.

  • Bays allow you to assign a unit to a physical location in your shop.

  • Mechanics should be set up so the right users see their assigned jobs.

  • Job Templates are optional, but useful once you've handled a few common jobs.

⚙️ How Do I Add Labor Types?

To bill labor at the right rate, go to Configuration > Service > Labor Types and add a Name and an hourly rate for each type of labor you bill, such as Diagnostic, Warranty Work, or Standard Repair.

⚙️ How Do I Add Bays?

To assign jobs to a physical location in your shop, go to Configuration > Service > Bays and add a Name for each bay.

Each customer unit can be assigned to a bay, so mechanics and counterpersons can see where a vehicle is without walking the shop floor.

👤 How Do I Flag a User as a Mechanic?

To set up a user as a mechanic, go to that user under Configuration > Users and check Service Order Mechanic in the user's Account box.

All users will appear in the Assigned To menu on a job, but mechanics will be listed first.

Mechanics will also see a My Jobs tab on the Service Orders screen, allowing them to find their assigned jobs or unassigned jobs quickly.

It is also a good idea to review User Permissions so you can control who can see and edit service orders, labor rates, and manage time clocks.

🧰 How Do I Create a Job Template?

Templates save you from re-entering the same complaint, labor, and parts every time a common job comes up.

Open any job on a Service Order and click Save As Template. When you create a new job afterward, click From Template to fill it in from a saved template instead of starting blank.

🔎 How Do I Find Service Orders?

Mechanics can find their open assigned jobs on the My Jobs tab on the Service Order screen. If you are not a mechanic, you can find Service Orders through the Service Orders tab on the Home screen, which lists every order with its Order #, Date, Customer, Unit, Status, and Counterperson, and lets you filter the list down to a specific order.
